EVENT DESIGN
This is the very first stage of planning your event. We’ll discuss your ideas and budget, and ask top-level questions. What do you want your audience to take away? What have you done before - and did it work?
ExpandWe often create pre-visualisations to help you imagine how different scenarios might look and flow. Detailed to-scale plans will help you work out delegate numbers and seating arrangements. They also give clues as to requirements for overall event design and equipment.
EVENT PLANNING
Once we’ve been appointed, we will hit the ground running. The first step is to introduce you to the professionals at JHAV, who will become an extension of your team.
ExpandWe’ll specify an appropriate high-quality audio system so that everybody can hear everything. We use our earlier planning to establish sightlines for projectors and video screens.
It’s often advantageous for us all to meet for a site visit and walk through the venue, confirming that our 2D plans agree with the real world. We ensure that any show we work on is highly accessible. This includes (but isn’t limited to) hearing assistance systems, planning of production elements so that they don’t interfere with guest mobility requirements, and interpretation or translation services where appropriate.
It’s at this stage that we also ensure our health and safety paperwork is up to date and suitable, and that any special works unique to your event have been properly assessed for risk and working methods.
EVENT MANAGEMENT
This is where our planning pieces come together. Our expert technicians will build the various elements of your event; from hanging the rigging and placing lights and speakers, to taping down cables and dressing the space.
ExpandWhile your event is in progress, we can assume whatever duties are required. This might only involve the management of your AV, or could extend to traffic management, timekeeping, speaker liaison, and more besides.
Once we’re all set, it’s time for rehearsals and run-throughs. We support your team and every guest speaker so they can deliver their presentation to a fully engaged and inspired audience.
EVENT EVALUATION
If you want to improve your audience’s experience each time they come to your event, a post-show debriefing is vital. This can include data analysis from the audience, feedback from the presenters and attendees, and observations from the JHAV management team.
ExpandWe also occasionally secure local authority feedback, and canvas opinions from other involved parties such as blue light services, general public comments and questions, and industry body interviews.
Once this process is complete, all that remains is to book in for next year!
