In February 2021, Nine Collective brought in JHAV to deliver a high-profile streaming event for their client Penguin Random House. The event was the launch of a number of key new titles that they were launching, with over 400 key buyers, marketers and influencers watching for the exciting announcements of the latest titles. Previously this event would have taken place in person but had to move online and the end result was much higher engagement figures than at the traditional event.
Our brief was for a very slick, heavily branded online output that had to incorporate a large amount of pre-recorded video playback, interspersed with multiple live callers and animated graphics such as countdown timers and lower third title graphics with the whole event running to a very strict broadcast time frame due to other commitments of key presenters involved.
The Tech…
- Using one of our vMix Live Production and Streaming Suites we were able to incorporate multiple pre records seamlessly with 8 remote callers presenting singularly and together during the event
- The recording and broadcast was streamed in HD into a Zoom Webinar and recorded for future editing.
- Presenters were remotely cued for their segments with show calling and countdown timers
- Backup systems used in case of connection issues with presenters – One presenter in particular wasn’t able to do a test call pre event and was calling in mid live event from the Radio 1 studios.
- We carried out test calls with a number of presenters and a full run through of the event was broadcast so that members of wider Penguin team were able to watch the show in advance and comment on any changes that were needed to the content and scripts.
Event Management, The Challenges and Results
- Pre event we worked with the client on the scheduling of the event, joining instructions for presenters and attendees
- Zoom management – setting up the event, registration, in call functionality and recording settings to be customised for particular requirements this event needed.
- We worked with the client to overcome and mitigate some challenges that were presented when one caller from abroad was having a problem with their local internet connection and when one caller wasn’t able to attend any of the rehearsals and had to join the call mid event on the live show.
- We provided post event analytics of the attendees and any Q&A that took place.
